This Privacy Policy explains what information TriWebix LLC ("TriWebix", "we", "us") collects when you use FieldCommandCenter, FieldScouter, and any related websites or services (collectively, the "Services"), how we use that information, who we share it with, and the choices you have. By using the Services you agree to this policy.

The short version. Your farm data is yours. We never sell it. We never use your field boundaries, agronomy records, scout photos, or GPS coordinates to train AI models, share with agrochemical or seed companies, or for any advertising or marketing purpose. We use a small number of well-known vendors (Stripe, Twilio, Resend, OpenAI, Plant.id, Sentinel Hub) only to deliver the features you signed up for.

1. Information We Collect

Account and Farm Information

When you create an account we collect your name, email address, password (stored only as a bcrypt hash), and the farm name, mailing address, and GPS coordinates you provide. If you invite a team member by SMS or email we collect their name, phone number, and email address so we can send the invitation.

Field and Agronomic Data

We store the field boundaries, acreage, crop types, planting dates, seed varieties, spray log records (products, rates, dates, equipment), agronomy notes, growing-degree-day targets, yield estimates, irrigation events, and any other data you enter into the Services. This data belongs to you and is never used for any purpose beyond delivering the Services to you.

Scout Reports, Photos, and Audio

When you submit a scout report through FieldScouter, we collect the text, pest or disease identification results, GPS coordinates of the observation, any photos you capture or attach, and any audio recordings you choose to include. Photos and images are transmitted to third-party AI services (see Section 4) for analysis and then stored on our servers. Audio recordings are stored solely for your reference within your scout history.

Payment Information

Subscription payments are processed by Stripe. We do not store your credit card number, CVV, or full card details on our servers. We store a Stripe customer ID and subscription status in order to manage your account. Stripe's privacy policy governs how Stripe handles your payment information.

Weather, Imagery & Sensor Data

We retrieve weather forecasts and historical weather information from third-party weather providers using your farm's GPS coordinates. We do not sell this data, and we do not share your farm coordinates with weather providers beyond what is required to return a forecast for your location. Satellite imagery (NDVI and base layers) is retrieved from Sentinel Hub / Copernicus using your field boundaries. Soil-moisture probe readings are retrieved from Sentek IrriMAX Cloud using credentials you provide.

Mobile Device Data & Push Tokens

If you install FieldScouter we collect the device push notification token your device provides so that we can send you the alerts you have opted in to. Push tokens are stored against your account and can be revoked at any time by signing out or revoking the app's permissions.

SMS & Phone Numbers

If you choose to receive text-message alerts (Crop Radar alerts, team invitations, spray-window reminders, etc.), we collect your mobile phone number and the consent record showing when and how you opted in. Messages are delivered through Twilio. See our SMS & Messaging Terms for full details, opt-out instructions, and message-frequency information.

Server Logs

We automatically collect standard server logs including your IP address, browser or device type, operating system, pages and features visited, and timestamps. This data is used for security monitoring and service improvements and is not linked to advertising profiles.

We do not use your farm data, field boundaries, agronomic records, scout photos, or GPS coordinates to train AI models, sell to agrochemical or seed companies, or for any advertising or marketing purpose whatsoever.

5. Legal Basis for Processing (EEA / UK Users)

Where applicable under the GDPR or UK GDPR, we process your personal data under the following legal bases: performance of the contract (providing the Services you signed up for), legitimate interests (security, fraud prevention, service improvement), legal obligation, and consent (where you have opted in to optional communications such as marketing emails or push notifications).

6. Data Retention

We retain your account and farm data for as long as your account is active. If you cancel your subscription and close your account, we will delete your personal data, farm records, scout reports, photos, audio recordings, and push tokens within 90 days, except where we are required to retain certain records for legal or accounting purposes (e.g., billing records may be retained for up to 7 years). You may request deletion at any time by contacting us at info@triwebix.com.

7. Security

We use industry-standard measures to protect your data, including encrypted connections (HTTPS/TLS for all data in transit), hashed passwords (bcrypt), and role-based access controls that limit who on our team can access production data. Scout photos and files are stored with access controls that prevent public access without authentication. No system is perfectly secure; if you believe your account has been compromised, please contact us immediately at info@triwebix.com.

8. Your Rights

Depending on where you are located, you may have the following rights regarding your personal data:

If you are a California resident, you have the right to know what personal information we collect and how it is used, the right to delete your personal information, the right to opt out of the sale of your personal information (we do not sell personal information), and the right to non-discrimination for exercising these rights. 9. Children's Privacy

The Services are not directed to children under 13 (or under 16 where required by applicable law). We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

10. Do Not Track

We do not respond to "Do Not Track" browser signals at this time. We do not engage in cross-site tracking and we do not share your data with advertising networks.

11. International Data Transfers

Our servers and most of our service providers are located in the United States. If you access the Services from outside the United States, your information will be transferred to, stored in, and processed in the United States, which may have data-protection laws different from those of your country.

12. Changes to This Policy

We may update this policy from time to time. If we make material changes, we will notify you by email or by displaying a notice in the application at least 14 days before the change takes effect. Continued use of the Services after that date constitutes acceptance of the updated policy. The current effective date is always shown at the top of this page.
